RULES, TERMS, AND CONDITIONS
Thank you for having your photo session with Calgary Mini Sessions. We look forward to creating a memorable experience for you. Calgary Mini Sessions staff is here to make your visit as enjoyable as possible so please let us know if there is anything you need prior to, or during your photo session.
Please read the following Mini Session information and Rules:
THE FOLLOWING RULES APPLY TO ALL PHOTO SESSIONS:
RISK:
1. Use of the studio during your mini session is at your own risk. Calgary Mini Sessions (Snap YYC Inc.) is not responsible in any way (including monetary compensation) for any injury and/or damage/loss of property you incur during your visit.
2. Calgary Mini Sessions is not responsible for your personal belongings. You may leave them at the designated coat rack in the studio at your own risk.
PAYMENT & CANCELLATION:
3. 100% payment of the session fee is required to secure the date for your mini session. Any extras purchased during your visit will be paid at the studio prior to the end of your booking. Bookings over $500.00 are eligible for a 50% deposit payment. Please note that online automated bookings cannot accept 50% deposits. Please contact us if you would like to book with a 50% deposit.
4. Rescheduling of your booking is acceptable 48 hours or earlier before your booking start time. Rescheduling within 48 hours of your booking date/time is not permitted.
5.There are NO REFUNDS for mini session bookings. If rescheduling is required and the desired rescheduling date is unknown or beyond the scope of what is offered in our calendar, a credit will be issued to be used at a future date.
6. Calgary Mini Sessions photographers reserve the right to determine the length of time necessary to reasonably complete the photo shoot. If your desired outcome exceeds the scope of a mini session, Calgary Mini Sessions photographers will recommend to extend the session if the schedule permits. The extra time is billed at a rate of $150 per 15 minute increment. If no extra time is available in the schedule, you acknowledge that the session expectations were beyond the scope of the booked session and therefore we can only complete what is feasible in the 15 minute time slot.
7. Photo sessions that extend beyond the scheduled time will incur additional fees. Calgary Mini Sessions photo shoots are billed at a rate of $150+GST per 15 minute increment.
8. All time is billable time. This includes outfit changes, backdrop changes, lighting adjustments, and any other activity relating your time in the studio. Calgary Mini Sessions photographers are experienced and work very quickly to ensure your time is respected and well spent. We appreciate the same respect from clients to keep on time with the photo session schedule. If you want to take extra time for outfits, hair and make up, or any other activity that will make your experience more enjoyable, we recommend booking back to back time slots to extend your booking time.
9. In the unlikely event Calgary Mini Sessions cancels your booking, the limit of liability is restricted to reimbursement of all monies paid to Calgary Mini Sessions at the time of the cancellation.
LATENESS:
10. If you arrive late you will not be given a time extension. No refunds or price adjustments will be given for arriving late or missing your time slot. Time slots are typically 15 minutes – please plan accordingly.
11. If you miss your time slot and Calgary Mini Sessions has availability to rebook your session on the same date, you will have to pay for a new session at full rate.
12. Calgary Mini Sessions is not responsible to make up for missed time slots. There are no exceptions for problems such as failing to find parking, getting caught in traffic, or weather related lateness. It is your responsibility to allow ample time to arrive at the studio.
LOCATION:
13. Calgary Mini Sessions are held at Studio 342 located in the quiet residential neighbourhood of Willow Park in SE Calgary. Studio 342 is an accessible location.
14. There is free street parking on site. The studio can also be accessed via public transit. Please refer to your booking confirmation for directions to the studio location.
15. Studio 342 has changing areas and a washroom available. Please arrive to your mini session in your preferred outfit with hair and make up complete. The typical mini session does not allow time to get ready before your session, or to change during your session (unless additional time is booked).
16.Please arrive no earlier than 5 minutes before your designated time slot. If you arrive to the studio location early, please remain in your vehicle until your designated time slot and refrain from roaming the property and neighbourhood. Please enter the studio quietly as there may be another group finishing their session. Please do not interfere with the photo session that is taking place and take extra care during Santa time slots that children do not run to Santa and interrupt the outgoing group.
PRICE STRUCTURE & DELIVERABLES:
17. Calgary Mini Sessions are billed at a rate of $150+GST per 15 minute session + $25 per image.
18. Calgary Mini Sessions session fees do not include images unless otherwise stated. The quoted price is for session fee only. Images can be purchased at a rate of $25/image. Some sessions may include other image purchasing options. Image purchase price includes full image retouching.
19. Images are delivered in an Amazon Photos link through email. Downloading instructions are provided with the download link. Calgary Mini Sessions will not upload images to any other file sharing or photo platform.
20. Calgary Mini Sessions images are delivered in JPEG format. RAW files are not released unless a custom image use agreement has been signed prior to the photo session and the RAW release fee has been paid.
21. All example images on calgaryminisessions.ca are indicative of what you can expect as photo deliverables. Backgrounds and props are subject to change. Images posted to social media and other affiliate websites such as studio342.ca may not be representative of Calgary Mini Sessions products. We reserve the right to change backgrounds/props/studio set up and any other creative elements without advance notice.
22. Calgary Mini Sessions photo shoots make use of specified backdrops. Custom backdrops or other styles cannot be accommodated during the mini session style shoot. If you would like a custom designed shoot, please contact us to discuss details.
CHRISTMAS AND SANTA PHOTO SESSION RULES:
23. Santa Days are designated days where Santa visits Calgary Mini Sessions. Please ensure you are booking a Santa Day session and not a regular Holiday Session. There are NO REFUNDS AND NO RESCHEDULING for improper booking.
24. Santa only visits Calgary Mini Sessions during specific time slots. Please ensure you have booked a Santa Day time slot, and not just any available time slot available on the designated date.
25. Santa Days include up to 15 minutes with Santa. It is at Calgary Mini Sessions sole discretion when Santa joins the photo session.
26. There is a ZERO TOLERANCE policy for late or missed Santa appointments. Santa Sessions are 15 minutes in total. DO NOT BE LATE. Time slots are fully booked and we cannot accommodate you in another time slot. Missing your booking forfeits your session fee and no refunds will be provided.
27. Santa Days are a special event and there are NO REFUNDS for Santa Day time slots. Rescheduling with at least 48 hours notice is acceptable ONLY to book into another available Santa Time slot. Santa bookings cannot be rescheduled into regular bookings.
28. Calgary Mini Sessions works with high quality, real beard Santas. Calgary Mini Sessions does not guarantee a specific Santa as we work with several individuals. The Santa seen in promo photos, social media posts, and websites may not be the Santa present during your booking.
29.Christmas photo sessions DO NOT INCLUDE SANTA. These are mini sessions using Christmas backdrops and props to create family (and friend) Holiday Photos. It is your responsibility to book the correct session. No refunds will be given for booking the wrong session type.
30. Christmas photo sessions run from October 11 2025 to December 12th 2025. Christmas sessions will be held on specific dates. If the specified dates do not work for you, please reach out as we may be able to accommodate alternative time slots.
31. Calgary Mini Sessions does not guarantee availability of any display. Holiday display offerings differ every year. If you are a returning client you may see some familiar displays and/or a new collection. Displays seen in promo images, or on social media may not be available during your time slot.
32.With a minimum 48 hour notice, Christmas mini sessions can be rescheduled to any available date in the aforementioned Christmas Session time frame, or a credit can be applied to a future non Christmas themed family photo session at a future date. The non Christmas family session may be a different price point than the mini session.
PERMITTED USE, COPYRIGHT & MODEL RELEASE:
33. Model release: all photos taken by Calgary Mini Sessions employees/independent contractors belong to Calgary Mini Sessions (Snap YYC Inc.) in perpetuity and can be used in all ways Calgary Mini Sessions (Snap YYC Inc.) sees fit including but not limited to: advertising campaigns, websites, social media posts, news stories, information brochures and professional portfolios belonging to the photographers. It is acknowledged that you are not entitled to compensation for use of any photographs taken by Calgary Mini Sessions (Snap YYC Inc.). You can opt out of this clause by submitting a request in writing through our contact form before the start of your session.
34. You are not permitted to use any photos taken by Calgary Mini Sessions (Snap YYC Inc.) for monetary gain including but not limited to: revenue generating social media, websites, or blogs, contests, or advertising campaigns without express permission from Calgary Mini Sessions (Snap YYC Inc.) photographers. Photos may be shared publicly to personal social media pages.
35. Calgary Mini Sessions grants print and usage rights for personal use only. If images are to be used commercially, please contact Calgary Mini Sessions to discuss a custom use agreement.
36. Calgary Mini Sessions does not permit alterations to images without express permission from Calgary Mini Sessions photographers. This includes but is not limited to professional retouching from outside vendors and social media filters. If you would like your images edited in a certain way, please communicate your request at the end of the photo session.
Disclaimer:
It is your responsibility to read and understand these rules prior to booking. You are responsible for informing everyone in your attending party of the session rules. We ask that you bring a great attitude and positive energy to your session and that everyone is ready to participate in order to get the most desirable outcome!
